Mega Clima Kenya 2026 takes place from 13 to 15 October at the Sarit Expo Centre in Westlands, Nairobi. For HVAC&R exhibitors, the three show days are only part of the trip. There is stand build before the doors open, breakdown after they close, and often a round of distributor meetings or site visits once the halls are empty. For visiting engineers and contractors, the question is simpler: how many nights do you actually need, and where should you sleep so the days run smoothly? This guide walks through the planning decisions in order.

Step 1: Map your nights before you book flights
Start with the organiser's exhibitor information for your build-up and breakdown windows, then work outwards. It is easy to underbook by a night at each end. The table below is a simple way to decide who needs which nights.

When you book, choose your own dates in the booking engine rather than just the three show days. It is easier to plan for the real schedule from the start than to extend a stay at the last minute.
Step 2: Plan build-up and demonstrations with the organiser, not the hotel
HVAC&R stands often include working demonstration units, cut-away models or refrigeration components that need careful handling. Arrange delivery, storage and on-site assembly with the organiser and your freight forwarder. A hotel is the wrong place for that equipment. At Karen Plains Hotel we do not provide workshop space or storage for equipment, samples or stand materials. What we can do is make the human side easy: ordinary luggage storage, a packed breakfast on request if your build slot starts before our 7:00 breakfast, and transport quoted for your team.
A practical tip: keep tools, spare fittings and anything you need at the hall with your freight or in your stand allocation, and travel with only what you need for the day.
Step 3: Build cross-city travel into every day
Karen is in south-west Nairobi. Sarit Expo Centre is in Westlands, north of the CBD, on the other side of the city. That is not a reason to avoid Karen, but it is a reason to plan. Journey times vary with Nairobi traffic; check a live traffic app for your schedule, and allow generous time on build-up day when being late costs you more.
- Decide whether the team travels together or in two waves (technicians early, sales team later).
- Agree a pick-up time each evening, especially on breakdown day.
- Ask us to quote venue transport once you know your headcount and times.
- If someone needs to leave the stand for a site visit, plan that journey separately.

Step 4: Protect your evenings for follow-up work
Trade shows generate a pile of admin: leads to log, quotations to revise, specification questions to answer while they are fresh. Choose accommodation that lets you do that without hunting for a café table.
- A real desk. Every room at Karen Plains Hotel has a work desk.
- Reliable connectivity. Our Wi-Fi runs on Starlink, and a generator covers guest rooms and Wi-Fi during power cuts. Follow your own company's IT and security practices when working remotely.
- Dinner without a detour. Lunch and dinner can be added for US$40 per day, with Kenyan, Swahili and traditional African food at the heart of the kitchen.
- Clean shirts for day three. Laundry is available at US$20 per bag, washed, dried and folded.
If you are visiting, not exhibiting
Building-services engineers, consultants and refrigeration contractors often attend for one or two days to compare equipment, check specifications and meet suppliers. For a shorter visit:
- Pick the show day with the seminar or supplier meetings that matter most, then add a day for site visits or cold chain discussions elsewhere in the city.
- Arrive the evening before so the morning is not spent on an airport run. Private transfers from JKIA are US$55 per vehicle, one way, by sedan for up to three people.
- Check in from 12:00 and check out by 10:00, and use our luggage storage if your flight is later.
Choosing a room
For a team lead who will be working late, the Executive Room gives a king bed and extra space to work. The Deluxe Room pairs a king bed with a proper workspace. If someone wants fresh air before the drive across town, the King Room with Balcony has a private balcony. Our standard rooms are practical for larger crews. - Rooming list with arrival and departure dates for each person
- Billing contact for the hotel invoice (receipts and invoices are available on request)
