Agree the brief before anyone books
Team trips get complicated quickly when people book separately. Before any rooms are reserved, settle these points internally:
- Who is travelling, and in what role. Stand staff, engineers, managers, and any local colleagues joining for part of the trip.
- Arrival and departure for each person. Staggered flights are normal. Write them down.
- Who books. One coordinator books or briefs the hotel, rather than five people choosing different dates.
- Who pays. A company card, individual cards with expense claims, or a mix. Decide before arrival.
- What the daily budget covers. Meals, laundry and local transport are easier to manage when the rules are clear.

Build a daily rhythm
A predictable routine stops small delays from turning into missed meetings. Here is one workable structure. Adapt it to your own programme.
Morning
- Breakfast is served from 7:00 to 10:30. If anyone needs to leave earlier, ask for a packed breakfast the evening before.
- A ten-minute stand-up in the lobby: who is where, which accounts, which demonstrations.
- Leave together in one vehicle where possible.
During the day
- Keep one person responsible for the day's meeting list and any changes.
- If an engineer needs to break away for a site visit, arrange that journey in advance.
Evening
- Protect an hour for CRM updates and quotations while conversations are fresh.
- Our Wi-Fi runs on Starlink, and a generator covers guest rooms and Wi-Fi during power cuts. Staff should follow your company's own IT and security policies when working remotely.

Decide transport once
Karen is in south-west Nairobi. If your meetings or exhibition are in Westlands or the CBD, your team will be crossing the city each day. Journey times vary with Nairobi traffic; check a live traffic app for your schedule. Rather than arranging rides every morning, agree a plan up front:
- Airport arrivals: private transfers are priced per vehicle, one way. From JKIA, a sedan (up to 3) is US$55 and a 4×4 Land Cruiser (up to 6) is US$95. See airport transfers.

- A hired car: there is free on-site parking at the hotel.

Keep admin simple
- We accept card and M-PESA.
- Invoices and receipts are available on request. Tell us the billing name and details your finance team needs.
- Cancellation and prepayment terms depend on the rate you choose and are shown before you pay. Read them with your travel policy in mind, especially if dates may shift.
- Our front desk is open 24/7, which helps when a colleague lands late.
Look after the team on a longer trip
Long trade-show weeks are tiring. A few small arrangements help:
- Laundry. Wash, dry and fold for US$20 per bag, so nobody packs for ten days.
- Luggage storage. Useful when check-out (by 10:00) comes well before an evening flight.
- A half-day off. A Nairobi National Park half-day tour or a visit to the Giraffe Centre is a good reward at the end of a demanding week.
- Local errands. Personal shopping assistance and Nairobi navigation help can be arranged on request, with costs quoted.
